Project Manager
Family-owned Seattle heating, cooling & air quality experts since 1938. Furnace, AC, heat pump & ductless service across Greater Seattle. (206) 243-7700.
The Project Manager is one of two co-equal leads running an operations team, partnering with the Field Manager and reporting to the Operations Manager. Where the Field Manager owns the people and the work in the field, the Project Manager owns everything that has to be right before a crew arrives and everything that has to be finished after they leave: permits, load calculations, parts and equipment, project timelines, job checkout and the paperwork that turns completed work into a paid, warrantied, closed job. Ownership of a job transfers to the Project Manager the moment the customer signs.
Compensation: $65,000 to $85,000 base salary, depending on qualifications. Full-time, exempt (salaried), paid biweekly.
Schedule: We run a 4/10 schedule, four 10-hour days per week, 8:00 a.m. to 7:00 p.m. with a one-hour unpaid lunch. Team One works Monday through Thursday and Team Two works Wednesday through Saturday. As an exempt leadership role, additional hours beyond the scheduled rotation are expected as business needs require.
What you'll do
- Oversee the dispatch board for your team: review routing and job sequencing daily, read the call center's notes, and drive jobs that are falling behind back on schedule.
- Take ownership of every job at signature: collect the deposit, open the project, review the sold scope and schedule the pre-inspection with the Field Manager.
- Contact every customer with a job in flight every 48 to 72 hours, so no customer has to guess where their job stands.
- Own permitting and inspections: pull permits, schedule inspections and track every open permit through final approval.
- Own parts and equipment: confirm availability before an install date is committed, order and receive materials, and keep install crews restocked.
- Perform heat loss and load calculations for replacements and new systems.
- Own quote follow-up and conversion, and build quotes the field did not create onsite.
- Schedule and coordinate subcontractors, and document, price and process change orders with written customer approval.
- Own job checkout and closeout: warranty registration, utility rebate and incentive paperwork, closeout documents, final payment and filing the job in ServiceTitan.
- Track actual cost against sold price on every job and report team margin to the Operations Manager.
- Connect with your Field Manager partner every day on job readiness, parts, crew days and problem jobs.
What We're Looking For
- High school diploma or equivalent; construction management, business or trade coursework a plus
- 3 to 5+ years in project management, construction coordination or install operations, preferably in HVAC or residential construction
- Direct experience with residential permitting and inspection processes, ideally in Washington jurisdictions
- Ability to perform heat loss and load calculations (Manual J or equivalent)
- Experience with procurement, inventory and subcontractor coordination
- Proven ability to manage many active jobs at once without losing details
- Strong financial literacy: job costing, margin, change order pricing and invoice accuracy
- Strong working knowledge of ServiceTitan or comparable project and job-costing software
- Enough HVAC technical understanding to review a sold scope critically
- Excellent written and verbal communication with customers, vendors and crews
- Valid driver's license and clean driving record
Physical demands: primarily office-based, with regular travel to jobsites, suppliers and permitting offices; extended periods of sitting, computer use and phone communication; occasional walking on active jobsites, including uneven terrain, ladders and confined areas; ability to lift and carry up to 50 lbs; required protective equipment on an active jobsite; a fast-paced environment managing multiple concurrent jobs.
